Navigation Exercise - PGDERP

We have reviewed the features and general introduction to ByD in our last lecture. We also installed ByD software, and reviewed presentations about Navigation in ByD product. All the presentations for ByD are available at our shared folder on Google Drive at http://goo.gl/k0Ewqt.

Project Management with SAP ByD for PGDERP

Welcome to College of Engg, Pune.


The course is offered by the Aa Ab Laut Chalen initiative of IIT Alumni Canada members to introduce this fast growing technology area in the past 2 decades to students in India. The course is developed and being supported by SAP University Alliance programSAP UA program is global initiative of SAP A.G., the world leader in the ERP technology.

The course started on 29th July 13 and will end before 15th Sept 2013. We will meet on all Wednesdays after lunch from 2pm to 5pm.

Before each classroom or Lab session, the session plan will be shared with all participants by a post at this blog. Each student is expected to subscribe to this blog and check all the communication. After each session, as well, this blog will be posted with details of the deliberations during the session. All students are also encouraged to post any questions or doubts they have. This will help sharing with all students, the questions and doubts that you may have and the answers from the faculty. This ensures that you will participate in all learning process through out the 4 month period of the course.

After each session, you are also required to answer a set of questions on an online form. This is a regular feedback to the faculty and for reporting the status to the COEP management. After completion of the first session on 7th August, please access this online form at http://goo.gl/utJJb

This will be followed with practical hands on work of installation and navigation in ByD. ByD software is available only SaaS. The ByD instance created for our college resides in the SAP cloud. You can access the software from anywhere in the world from a browser with internet.

You will log into SAP ByD at https://my311012.sapbydesign.com 
Your PC may not have all the add on components required to run ByD. You may have to download and install such additional components before using ByD software.

Written Test


We now have final decision that test can not be conducted online. You are getting first hand experience of the challenges faced in implementing Enterprise systems. When several users start using the system simultaneously and it is mission critical task, then performance, reliability etc. become very critical. Imagine what challenges you will have when implementing ERP systems for hundreds of thousands of employees for doing hundreds of mission critical processes simultaneously.

Now the exam will be a written test but you will have all objective questions. Some questions will be from what you have compiled. Those question bank links I have given you in my yesterday's post. Link for O2C was wrong. Now it is corrected. There will be some more questions which will cover topics that we studied before mid term exam. There will be about 75 questions for about 30 marks to be completed in 40 minutes.

Because of all this recompilation of exam papers and making copies etc. I was not able to update your marks for Lab exercises and product study presentations. I will finish that in next couple of days.

Wednesday 17th lecture


This will be the last lecture in this course. After midterm, with smaller batch sizes, most of you have been able to complete lab assignments in a much better manner.

P2P and A2I assignment, extended date for final submission was 1st April. But following few students  have as yet not submitted their forms.

P2P submissions: At least 1 team member was expected to submit the form. Following teams have not submitted the form properly as yet.
Civil2 no submission, Engineers and MKCP have submitted same form, Schemia form is submitted half complete.

A2I submissions are not received from the following:
7028 Urjit, 1022 Priyanka, 0015 Umema, 0111 Juee, 1045 Swanand, 3024 , Onkar, 3032 Jayant, 1010 Deepa.

O2C lab assignment few students had a problem in completion due to insufficient stock. I have increased the stock to 1000 of each part and hence everyone should be able to complete O2C assignment. The O2C forms will be accepted until end of the day Wednesday 17th.

The End Semester Exam is scheduled on next Wednesday, 24th April. This will be online test on Moodle for about 40 minutes for 30 marks. The objective questions will be on various business processes covered after mid semester as well as topics covered prior to mid semester.

The remaining ERP product study presentations will be on Thursday evening ( MTech Proj Mgt),  Friday morning and all the remaining will be on Saturday morning, 2 batches, 8:30 to 10:30Am and 11am to 1pm.

Those of you who have received the passes to attend the meeting with Nobel Laureate are requested to positively be present at the event.

Order To Cash (O2C) Sales from Stock variant Lab April 5 onwards


As a last step in our course, you are requested to complete 2 exercises in the Order To  Cash scenario.

The first exercise is the process variant for "Sell from Stock" which is the most common situation. Product Study Assignment - final presentations



We have come towards the end of our Introduction to ERP course. You have learned about the essential features of the ERP and then get some hands-on practice of SAP-ByD ERP product. In this short period, all you were able to learn, was to appreciate what ERP application and underlying technology is. You have practiced few very elementary business processes of procurement and sales. In real life, you will be faced with some extremely complex processes in manufacturing, supply chain management, warehousing, financial and market planning and forecasting etc. Generally to learn all complexities of advanced ERP products it takes a few years. From next year, COEP is planning to introduce a post diploma with 12 courses in ERP with SAP certification and project work. Keep tuned to know more about this and spread the word around.

While you have got some exposure to one of the easy to use SAP ERP products (ByD), you were also asked to study one of the thousands of other ERP products in the market. As a student of ERP, it is important for you to have a very broad understanding and hence the final step in this course is to do self study of one other ERP product and share your knowledge with your other classmates. In the last 3 weeks of the course, you will make a short 10 minute presentation of the product that you have studied and submitted a written report as the assignment. You will also listen to all other students in your batch and help me do a collaborative assessment.

Please note that if you are not present at the specified time allocated to you, then it will not be possible to give you an alternative time slot and you will lose all marks reserved for this presentation. You will get max 5 marks for your presentation and 5 marks for submitting your assessments of other presentations.

Wed 20th March Lecture

We will have a joint lecture session for all students in Production Engg department as usual.

We will review the "Marketing to Opportunity" scenario. Marketing to Opportunity is also referred as Awareness to Inquiry or A2I for short. Next week you are expected to complete the A2I exercise, read through the book on Marketing available on ByD Help and the Scenario explorer presentation also available from ByD Help. All these documents are also stored in Moodle for your ready reference.

Your last week exercise and question forms for P2P scenario should be submitted by end of this week, before you start work on A2I scenario.

Financial transactions Lab 15th, 18th and 23rd March

As explained in our last meeting, we will now have 3 batches for completing Lab exercises. By this time you must have already completed the P2P scenario steps upto creating the Purchase orders. Now please proceed to complete the remaining process steps, primarily related to financial transactions. P2P Accounting 11th March 2013

I hope you have had real good time in last week. You did a great job. Great events, excellent planning, team work and energy. Congratulations!

Most of you have completed the P2P exercise upto creating the Purchase Order. The following process steps have accounting effect. SAP ByD automatically creates all related financial transactions. We will first review these accounting effects and then you can proceed to complete the remaining process steps of P2P scenario.

I notice that many students are unable to complete the exercises in the specified time because I am not able to provide personal attention to them. Therefore, from next week, I propose to have extra Lab sessions. We will make 3 separate batches (about 28 students in each batch) All of you will attend one 2 hour Lab session  on either Monday, Wednesday or Friday. In addition, we will have one joint classroom session every Wednesday morning. Based on your team performance until midterm, I have made 3 batches for Lab sessions as under.

4 March - P2P exercise, MidSem Marks & Assignment Peer Review


We had started P2P exercise on Friday 2nd March. Only 2 teams were successful in completing the  exercise upto the point of Purchase Order. All teams are requested to complete all steps of the exercise today. While completing the exercise please remember to note down every document being created in the system. Your T1 and midsem exam marks are now published in a spreadsheet in Moodle at a location immediately after the MidSem exam quizz. Any corrections required  that you had identified have been already incorporated.

You have submitted ERP Product study assignment on Moodle for the 2nd time. Unfortunately, I notice that majority students have not submitted your assignments in the MSWord template format. Any submission which is not in the specified MSWord template form will not be acceptable. You will have to reformat your documents and resubmit it. I would also like your documents peer reviewed before resubmission to ensure that your documents are complete and as per specified requirements before you resubmit it.

T1 answersheets - Monday 18th

On Monday, there will be no class being in the exam week.

You are, however, requested to review your T1 answersheets and marks obtained at my office in Production Engineering Department between 9:30AM and 10:30AM or later during lunch time between 12noon and 2PM.

On Wednesday, 20th, from 10AM to 12noon, the Mid semester exam will be conducted at Academic Complex computer Lab on Moodle. Please make sure you have access to Moodle and can log into the ERP2 course. If you are having any problem in accessing Moodle course then contact immediately Ms. Trishna at Data Center and get your problems resolved. The questions will be based on all theory and Lab sessions but there will be no questions related to the Assignment of ERP product study.

Procure To Pay (P2P) - 11 Feb 2013

This week we will start exploring the first major business scenario in Supply Chain Management.

Supply Chain Management starts from procurement of goods and services from suppliers and ends with delivering the finished or manufactured goods and services to the final consumer.

The first part of SCM is identified by the end to end business scenario known as Procure To Pay (commonly refered as P2P) or also known as Requisition to Pay or Purchase to Pay.

ERP Lab 8 Feb 2013

We have learned a few things about ERP and how to navigate through SAP ByD product. Some students have very quickly absorbed while there are quite a few who have not been able to complete all Lab exercises. Those who have not completed the previous exercises are requested today to complete  the following three input forms based on the completion of respective exercises.
(1) SAP installation: After you complete SAP ByD installation and all the required other software components like MSOffice, Adobe etc, please fill in the form at http://goo.gl/Ga4N5. You should test the installation of some other student's PC and your PC should be checked by some other student
(2) SAP Navigation exercises are to be performed as directed in form http://goo.gl/5AS7s
(3) Organization and Employee Task exercises are explained in the self learning tutorial available on Moodle. You are requested to complete the exercises as explained in the video demo tutorials available on the ftp software server on the COEP website. Watch these video tutorials to understand the steps, then perform these steps manually by logging into SAP ByD software and do it yourself. Finally, log in the results into the input form at http://goo.gl/cLKz5

Today is the last day for you to complete these 3 forms. No more extensions will be given.

Workforce admin Lab - 1st Feb 2013

Friday morning 8:30am we will meet in the Academic block ground floor computer lab.

ERP consists of various business scenarios and during this course, we will execute several business scenarios using SAP ByD by taking many different job roles in the dummy company "Almika Pvt Ltd" We will start with first business scenario of "Workforce Administration"

This scenario will require 2 different roles. A workforce administrator ( someone from HR or Personnel department) and the employee himself or herself.

We will start by initially assigning the authorizations for workfoce administrator to one student from each team. This workforce administrator will transfer the other team members from existing Mumbai Headqurters to another department of Finance. There after as given in the "Business Process Procedure (BPP)" document the workforce administrator and employee will perform all tasks in the sequence specified in the BPP.

You are also requested to start preparing revised improved assignment document for the ERP Product that you are studying for the past few weeks. The revised assignment document should be resubmitted latest by 15th February. Please note,  I do not accept the assignments after the due date. Therefore those who could not submit their first version of assignment document on due date can not submit it now. Now I have written very clear instructions on how the assignment document should be prepared on the Moodle course page. Please carefully read and follow those instructions.

Lecture on Wednesday 30th Jan 13

On Wednesday 30th, we will meet in Classroom No. 5 of the Production Engineering Department at 9:30am.

Many of you could not attend the Monday Lab, because of your participation in Zest festival. All those who missed their Lab session on Monday, are requested to complete the exercises as explained in the vido demo tutorials available on the ftp software server on the COEP website. Watch these video tutorials to understand the steps, then perform these steps manually by logging into SAP ByD software and do it yourself. Finally, log in the results into the input form at http://goo.gl/cLKz5

From this week, we are going to start learning about various business scenarios available in ByD. The first scenario we will be studying is about "Workforce Administration". This will give you an idea about how a scenario is defined, docuimented in a flow chart, how the execution steps are to be followed, where to look for the business logic behind the scenario, what are the variations etc. Same pattern of information will be available for all the following scenarios and exercises in the course.

We also briefly talk about the T1 test that will be conducted on next Wednesday, 6th Feb.

So far, you have completed following Lab/Project/Assignments to help you get a practical understanding of ERP.
  1. You have studied one Enterprise system product and you will continue to explore that product in many different aspects in this course. Many of you have done good exploration and your report  well prepared. However, many others were not upto my expectations. I am going to explain what is required and I would like you to make necessary improvements before we go to the next level of investigations.
  2. You learned about ByD navigation and general structure of the product.
  3. You did the exercise on Organizational and employee tasks.
  4. Now this week, you will do the Workforce Administration business scenarios.

Product Study presentations - 23rd Jan 2013

The Navigation exercise was completed in our Lab session on 21st. Many of you were absent, assuming that the Monday Lab sessions are optional. Please remember Monday Lab is not optional although the type of work you may do is of the nature of Practicing. Upto this time, we have studied basic concepts about Enterprise systems, ERP, Cloud computing etc. In the Lab, we have studied high level features of SAP ByD product and learned to navigate through the product. Various powerpoint presentations used in the class are now budled together in a zip file and it is now available for download on the COEP ftp server with file name "Part 1 Concepts and Navigation.zip" in the folder name "ERP ByD". The T1 test scheduled for the week after Zest festival will include all topics covered in this zip file.

On 23rd January all teams will present in 2 minutes each team, the products their team members have studied with high level description and comparative information. We must start sharp at 9:30AM, else we will not be able to complete all presentations by 10:30. Your file submission on Moodle should be complete on or before Tuesday, 22nd January. You will not be able make this submission any time after 23rd.

SAP Cloud, on demand and ByD Product strategy 18 Jan 2013

On Friday 18th January 2013, we will meet at 8:30AM in the ground floor lab in academic building. Unfortunately, internet connectivity is not available and therefore instead of lab session, we will cover some theory power point presentations.

In the Enterprise systems world, Cloud Computing, on Demand application services (SaaS, PaaS etc.) are on the bleading edge technology front. We will try to understand how SAP is providing it's solutions with all these leading edge technologies.

We will also study the details of the Almika Pvt Lts, the dummy company created in ByD which we will be using to perform our lab exercises.

I am expecting all team reports uploaded on Moodle about the enterprise system product that you have studied. Next week, I will request you to make a small presentation about th eproduct that youhave studied for the benefit of all your other colleagues.

ERP Overview - 16th Jan 2013

Last week, we discussed at a high level what is an Enterprise System? Your team has also explored various Enterprise System products commercially available in the market and each one of you has been assigned one Enterprise system product for detailed study.

Now we are going to get an overview of what is ERP? ERP is one category of Enterprise Systems. We will revisit definition of ERP, essential characteristics, application architecture and system architecture. ERP in essence is a system to optimize the business processes in an organization. Therefore, we will also try to understand something about business processes. We will also review major ERP vendors. In the class you will try to analyse all these features related to the ES product that has been assigned to you for detailed study.

After the class, please upload the team report of each product that your team members have studied including about 10 to 20 lines of general description of the product, end-to-end business processes managed by the product, a business process diagram for one end-to-end process, application architecture, system architecture and short description of the vendor.

Following students who are registered to attend "Intro to ERP" elective course have attended only 2 or less classes. Therefore these students will not be able to keep pace with the rest of the students of the class. I am, therefore, requesting the following students to attend the classes with the 2nd batch of students which includes M.Tech.(Proj Mgt) students. Navigation 11th Jan 13

Today you should have completed SAP installation and looked through Navigation features.

Your team is now required to search for various Enterprise systems available in the market. Of all these product available in the market, select 4 or 5 products for detailed study. Assign one Enterprise system to each team member. Each team member should complete in-depth study of the product that is assigne to him/her. Create one shared document on Google Docs for the team. Each team member will add about 20 lines of summary about the product that he/she has studied. Have this report ready before our next meeting on Wednesday in Classroom 5 in Prod Engg department.

Monday being the Makar Sancranti holiday, we will not have classed.

Installation and Navigation

Please note: The lecture session on 9th January will be in classroom # 6 (SIX) instead of Room 16 that was mentioned earlier.

Today, on 4th January, you have seen a demo of how to install SAP ByD and navigate through the system. Now you need to install the system on the work station that you will be using all through the course. Please also go ahead and install ByD on your personal laptop or PC which you may like to use for completing home assignments and additional practice.

Now you need to get your personal Log in ID and password. 4 Team Leader are identified from your class who can create you as the user on the system. Following team leaders are assigned the task of creating LogIn IDs :
Akhsay Rajankar for Civil and Metallurgy students
Bhavik Patel  for Computer and IT
Pratiksha Kale  for  Mechanical and Production students
Lokesh Bais  for  Lectrical, E&TC and Instrumentation
If you have any difficulty in getting your User ID from any of these team leaders then please immediately contact me ( x 7296) , Prof Mulay ( x 7289) or Kiram Pawar in Lab.

The ByD online Help is very powerful. Any time you have a problem or question just search in Help documentation. Now that your system is installed and you have log in information, please take the elearning course available in your help system. From the Home work center, click Help Center on the right side Info Bar. The Help panel will expand on the right side of the screen. In the Help panel, scroll down upto "You can Also" and click the link "Open Learning Center". Click the course "Introduction to SAP Business ByDesign". This is about 1 and half hour course. Please complete it by Monday 7th.

On Monday 7th, the lab session will be from 9:30AM to 10:30AM. Kiran Pawar will be available for any help required. Please install SAP ByD on your work station. You will also need to install some other software tools like MSOffice and Adobe reader, Flash etc. Your browser settings also may require some changes. Take assistance from Kiran Pawar because you will need admin log in for few tasks. Finally when you complete installation of your work station, you are required to ask some other student from the class to verify your installation. Similarly you should check installation of some other student and then fill in this online form http://goo.gl/Ga4N5

The next lecture will be on "ERP Overiew" at Classroom no. 16 in Production Engineering department on Wednesday , 9th January from 9:30AM to 10:30AM.

Following Lab session will be on 11th January, from 8:30AM to 10:30AM and you will have small online test based on what you have learned about navigation and from the elearning course that you will complete from Learning Center.

Lab Session - SAP ByD Installation

On 2nd Jan we had our first class to review the course profile. We had the typical initial starting troubles - set up laptop, overhead projector etc. The first year students joined our class and we did not know about it until half the class was over. Well, I guess, now we know better.

From Friday, there will be change in timing of our Lab sessions and location for theory sessions.
We will meet 3 times a week as under:
Monday       9:30 to 10:30  Admin block first floor for Lab session
Wednesday 9:30 to 10:30   Classroom # 16 in Production Engineering Dept.  for Theory class
Friday         8:30 to 10:30   Admin Block Ground floor.

To get prepared for the course, few steps have to be completed. During this course, you will be performing various team assignments and hence each student will be part of a team of about 5 students. Generally you will be able to form 2 or 3 teams in each branch, but feel free to select team members from other branches if required. Give your team a name. Then inform me you are part of which team in the Feedback form.
To get prepared you also need to have the ability to use all the tools and software like Moodle, SAP ByD, Blogs, wikis etc. Please inform me whether you are comfortable in use of these tools.
